Set up your account

After signing up: which options depend on your plan, transfer defaults, notifications, connections and your first transfer.

Written for Everyone

Once you have signed in for the first time, a few minutes of setup saves time on every case. Each step below links to the full instructions. Some steps are on every plan and some depend on your plan; each step says which. If you have not created your account yet, start with Create your account.

Which setup steps depend on my plan?

Your plan is shown under your email address in the account menu and in My account → Billing. This is what each setup option needs:

Shade guide and scanner defaultsevery plan
Notifications, connections, work order templates and file retentionevery plan
Normal transfer layoutevery plan

Plans also differ in how many transfers you can send, file sizes and how long links last. See Plans, allowance and link expiry.

What are transfer defaults?

Transfer defaults are answers you give once, under My account → Profile → Transfer defaults, so you do not have to give them on every case. They fill in the form for you; you can still change any of them on a case.

Shade guide and Scanner
The guide your shades are usually read against and the scanner your cases are usually taken on. Every new transfer starts with them filled in, and so does another lab's inbound form when you fill it in while signed in. Until you choose a shade guide, a new case reads Not specified, and an Expert transfer asks you to pick one before it can be sent. Choose No default to go back to that. Available on every plan.
Default form modes
Whether new transfers, and your inbound form, open in Simple or Expert. You can still switch on each case. Available on Basic, Pro and Enterprise; on Free every transfer opens in Expert.
Normal transfer layout and Inbound form layout
The order of the sections on each form, saved separately for Simple and Expert. The normal transfer layout is available on every plan; the inbound form layout on Pro and Enterprise.

Defaults only fill in new cases. They never change a draft you have already saved or a transfer you have sent, and nothing is filled in when you use another lab's inbound form without signing in. See Can the form start with my usual shade guide and scanner?

How do I set up my account to send cases?

  1. Check how you appear to recipients. Your organisation name is shown on every email and download page; see it under My account → Profile → Account details. On Basic, Pro and Enterprise you can also set a Display name, an Accent colour and a Logo under Branding. See Branding.
  2. Set your transfer defaults. Choose your usual Shade guide and Scanner under My account → Profile → Transfer defaults, and on Basic, Pro and Enterprise the mode new transfers open in. See What are transfer defaults?
  3. Choose your notifications. Under My account → Notifications, switch off anything you do not want in the bell or by email. Everything is on until you turn it off. See Notifications.
  4. Save the labs and practices you work with. Add them under My account → Connections so you can pick them instead of typing an address. See Save practices as connections.
  5. Choose how long files are kept. Under My account → Profile → File retention, files can be deleted automatically 7, 30 or 90 days after sending, or kept. See File retention.
  6. Let customers send cases to you. On Pro and Enterprise, set up your inbound form under My account → Profile → Receive files from customers. See Set up your inbound form.

How do I set up my account to receive cases?

  • Find your cases under Received. Everything sent to your email address appears there. See Work from your Received list.
  • Decide how patient names are shown. Names are blurred until you select the eye beside them. If your screen is not overlooked, tick Show patient names by default under My account → Profile → Patient names. See Patient names.
  • Choose your notifications. The Receiving group under My account → Notifications covers transfers sent to you.

How do I send my first transfer?

  1. Select New transfer on your Dashboard.
  2. Add the recipients. Start typing to pick a saved connection, or enter any email address.
  3. Fill in the work order and add the scan files. Files upload in the background while you work.
  4. Select Review & send, check the summary, then select Send transfer →.

Each recipient is emailed a download link, and the transfer appears in My Transfers, where you can see when it is downloaded. See Send a transfer.
