Submit a case through a lab's inbound form
For practices sending work to a lab through its form: the PIN, your details, Simple and Expert cases, files and submitting.
Written for Practices submitting through a lab's form
Some labs give their customers a secure form for sending cases straight to them. The lab gives you the form's web address, and usually a PIN. You do not need a Lab-Send-Go account to use it, although signing in first has advantages (see below). Cases you submit go only to that lab.
How do I open the form?
- Open the address the lab gave you. It looks like
app.lab-send-go.com/send-to/…, or the form may sit inside the lab's own website. - On Secure access, enter the PIN the lab gave you and select Continue. Some forms do not ask for a PIN.
If the PIN is refused, check it with the lab: they may have changed it. If the form says it is unavailable, the lab has switched it off or changed its address.
The PIN is not remembered by your browser. You enter it each time you open the form, including after reloading the page, and again after an hour, unless you are signed in and choose to remember it (see below). Someone else signing in on the same computer always enters the PIN themselves.
Can I skip the PIN next time?
Yes, if you are signed in. Tick Remember me on this form before you select Continue, and you will not be asked for the PIN on that form again while you are signed in. The lab can see that your account has saved access, and can remove it. When the lab changes its PIN or its form's address, you enter the new PIN once more.
Your remembered forms are listed under Saved inbound form PINs on the Profile tab of My account, with an Open form link that always goes to the form's current address. A form whose PIN has changed says PIN changed, enter the new PIN, and one the lab has switched off says Unavailable. Select Remove to forget a form. The option is not offered inside a form embedded in a lab's own website.
Step 1: your details
Enter Your name, the Company name and your Email, then select Continue. The lab uses these to know who sent the case, and we email your receipt to that address. If you are signed in, your account's email is used and cannot be changed here, and each new case starts with the shade guide and scanner saved under My account → Profile → Transfer defaults.
If you are not signed in, the form says so under the Email box: the confirmation emailed to that address is your record of it, unless you later claim it into an account. On the lab's form address there are links to Log in or create an account, which bring you straight back to the form. A form embedded in the lab's own website does not offer them.
Step 2: the cases and files
- Choose the Submission type. Simple is a single case with essential details. Expert includes the full clinical work order and lets you add several cases with + Add case. The lab chooses which one the form opens with.
- Fill in each case. See Fill in a work order for what each field means.
- Upload at least one file for every case: drop files on the upload area, or choose files or a folder. Files upload in the background, so you can carry on filling in the case. ZIP and RAR archives are checked once they have uploaded, then attached, and you can browse what is inside them.
Programs and scripts such as .exe and .js are refused, as they are everywhere in Lab-Send-Go. If a
file is refused, see Which file types can I upload? Before you submit, the form tells you how
long the lab keeps submitted files.
Step 3: review and submit
Below the work order, accept the declaration that you are authorised to share the case and have a lawful basis to do so, then select Review & submit. Check every case and file, then select Submit 1 case (or Submit … cases). If any files are still uploading, a progress window shows while they finish, and your cases are submitted as soon as they have; once you select Submit it can't be cancelled. When you see Submission received, the lab has been notified and a receipt is emailed to you. You can safely close the page, or select Start another case.
If your email address already has a Lab-Send-Go account, Submit offers Sign in to send instead. Your cases and files are already saved, so after signing in you come straight back to Review & submit with the declaration still accepted, and select Submit once more.
After you submit, we email you the first time the lab downloads your case, and warn you if the link is about to expire before the lab has downloaded it. If you submitted without signing in, these go to the email you entered and have no link to the transfer.
Can I save and finish later?
- If you are signed in, your submission is saved as a draft on your account. It appears in My Transfers, and selecting Continue takes you back to the lab's form. Only your account can open it.
- If you are not signed in, keep the page open. An unfinished submission is deleted, with its files, after 24 hours, and it cannot be picked up from another browser.
Why sign in before submitting?
- The lab sees you as Verified rather than as details typed into a form.
- Your submitted cases appear in your own My Transfers, where you can withdraw access, resend the notification to the lab, restore an expired case and delete hosted files once withdrawn or expired.
- Your receipt includes a link to the transfer.
You cannot change the work order or the recipient after submitting. Forms embedded in a lab's own website always submit anonymously; open the lab's ordinary form address if you want to submit as your account.
I submitted without signing in. Can I add it to my account?
Yes, if your account uses the same email address you entered on the form. Sign in and open My Transfers. The case is listed there marked Unclaimed. Select Claim transfer on it, then confirm. It becomes a case you sent, with the same options as a case submitted while signed in, and you can open it with View. Until you claim it, the case cannot be opened. Claiming cannot be undone.
Does submitting cost me anything?
No. Cases submitted through a lab's form use the lab's allowance, not yours.
