Share and approve a design
Share an exocad design on a received case, and approve it or request changes as the sender, with or without an account.
Written for Labs sharing designs, and the senders who approve them
When a lab has designed a case in exocad, it can share the design with whoever sent the case. The sender views the design in exocad's own 3D viewer on Lab-Send-Go, then approves it or asks for changes. Everything stays on the transfer, so both sides can see what was shared and what was decided.
Which design links can I share?
Only exocad webview links: the link exocad creates when you share a scene through DentalShare. It starts with
https://webview.exocad.com/v/. Other links, including other viewers, other exocad pages and
file-sharing sites, are refused, because the design is shown inside Lab-Send-Go and only exocad's viewer is allowed
there.
How do I share a design for approval?
- In exocad, share the scene through DentalShare and copy the webview link it gives you.
- Open the case from Received.
- Scroll to Design approval at the bottom of the page.
- Paste the link into Design link and select Share for approval.
The design is listed, marked Awaiting decision, and the sender is emailed. Select the design, or View design beside it, to open exocad's 3D viewer on the page, and select it again to close it. You can share a design while the transfer is live. You cannot share one on an expired or withdrawn transfer, or while a design you shared is still waiting for a decision.
Only you and the sender see the designs you share. If the transfer was sent to several labs or practices, each sees only its own designs.
How do I withdraw a design I shared?
While the sender has not decided, select Withdraw design under the design and confirm. The design is marked Withdrawn, the sender can no longer approve or reject it, and any approval link they were emailed stops working. The sender is told it was withdrawn. You can then share a different design. Withdraw a design if you shared the wrong link, or if the sender tells you they never received the email.
Where can I see which designs are waiting?
- Senders: a transfer under My Transfers shows Design to approve while a design waits for you, and the dashboard shows a Designs to approve card. Select the card to list those transfers.
- Labs sharing designs: each case under Received shows where your newest design stands: Awaiting decision, Approved, Changes requested or Withdrawn.
If a design has waited two days, the sender is sent one reminder.
How do I approve or reject a design?
Open the email and select Review design. If you have a Lab-Send-Go account, this opens the transfer under My Transfers, and you may need to sign in. Under Design approval, select the design, or View design beside it. exocad's 3D viewer opens on the page, with a Comment box and the decision buttons underneath it. The viewer only loads when you ask for it, because it downloads the full scan. If the viewer does not show, select Open in full screen, which opens the design in a new tab.
- To approve, select Approve design and confirm. You can leave a comment for the lab first, but you don't have to.
- To reject, describe what needs to change in Comment, select Reject with changes and confirm. A rejection always needs a description of the changes.
I sent the case without an account. How do I decide?
If you submitted the case through a lab's inbound form without signing in, the email carries a link that works for you alone. Select Review design to open the design and decide. The link stops working once you have approved or rejected the design, if the lab withdraws the design or the transfer, or after 30 days. If you have not decided after two days you are sent a reminder with a new link. It shows only the design, not the rest of the case. Do not forward the email.
What happens after the design is rejected?
The lab is emailed that changes were requested, and the changes appear on the transfer under Changes requested. The email does not include them, so open the transfer to read them. When the design is revised, share the new link from the same place. Each round is kept: the newest design is shown in the viewer, and earlier ones are listed under Earlier designs.
What happens after the design is approved?
The lab is emailed that the design was approved. If you left a comment, the email says so, and the lab reads it on the transfer under Approval comment. The email does not include the comment itself. If the lab can send the case back, the design shows a link to Send files back on the same page, so the finished work can go to the sender as a return transfer.
The work order PDF is stamped DESIGN APPROVED with the date of the approval, so the printed ticket on the bench shows the design was signed off. It also gets a Design notes box, above the case notes, saying the design was approved via the exocad webview, so you don't need to write that in your case notes. Your approval comment, if you left one, is printed in the same box.
What happens to the design when the transfer ends?
- If the sender withdraws the transfer, a design still waiting for a decision is closed. If the transfer is reinstated, share the design again.
- When the transfer's files are deleted, by the sender or under their file retention setting, Lab-Send-Go removes its copy of the design link. The record of what was approved or rejected stays on the transfer.
- The design itself is stored by exocad under the lab that shared it. Lab-Send-Go cannot delete it there, so delete the scene in exocad if you no longer want it shared.
The design does not show in the viewer. What can I do?
Select Open in full screen at the top of the viewer to open the design in a new tab on exocad's site. If it does not open there either, the link may have expired or been withdrawn in exocad. Ask the lab to share the design again.
Which emails are sent?
The sender receives Design to approve when a design is shared, Design approval reminder once if it has waited two days, and Design withdrawn if the lab withdraws it. The lab that shared it receives Design decision when the sender decides. Each also appears under the bell if you have an account, and each can be switched off under Notifications in your account. A sender without an account always receives Design to approve and the reminder, because they are the only way they can decide. See Choose your notifications.
